Extron cares about your right to privacy

RGB Systems Inc. with the trade name Extron Europe is located at Hanzeboulevard 10, 3825 PH  Amersfoort, The Netherlands. In this policy referred to as “we” or “Extron”.

We have a team of local security employees taking care of your privacy rights. They can be reached at the following email address: eur-gdpr@extron.com.

This policy explains how we collect, use and protect any personal information you give us online and offline.

Personal information from our clients and customers

The primary purpose for collecting personal information from our clients and customers is to facilitate the delivery of products and services, deliver marketing and promotional activities and to design and improve our product and service offerings and capabilities. Normally this includes the provision of your name, physical address, ZIP or postal code, phone number and email addresses.

What information do we collect:

  • Name and job title
  • Contact information including email address
  • Demographic information such as postal code, preferences and interests
  • Other information relevant to customer surveys and/or offers

Activities that require your personal information:

We require this information to understand your needs and provide you with a better service, and in particular for mostly the below mentioned reasons based on the (GDPR) legal grounds:

  • Receive personalized newsletters and other messages on our products and services that we feel may be relevant to your interests. Your personal identity information generally facilitates future communication with you. For example, your Extron website registration information and customer profile will be used to generate personalized web content and send you Extron E-News, a monthly e-mail newsletter (if you select that option), and to occasionally send you informative e-mails about Extron products and services.
  • We periodically send brochures or catalogues if you opted-in for these.
  • We use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail.
  • We use the information to customize the website according to your interests.

For the above mentioned reasons we received your consent for processing your data (art. 6(1)(a) GDPR):

  • Purchase Extron products.
  • Business transactional communication and order fulfillment.
  • Request for information or materials concerning our products and services.
  • To register you on our on-line and inhouse training classes. Additional information for travel and accommodation, diet, might be required but will be used temporally for the specific activity and deleted afterwards.
  • Download software that supports Extron products.

For these reasons the processing of your data is necessary for the performance of a (potential) contract (art. 6(1)(b) GDPR): The processing is necessary for compliance with a legal obligation (art. 6(1)(c) GDPR) in case ofinternal record keeping (required by business laws).

The processing is necessary for the purposes of the legitimate interests pursued by Extron (art. 6(1)(f) GDPR), in case we use the information to improve our products and services.

Personal information from job applicants

Extron collects basic personal information from employment applicants to allow the appropriate review and evaluation of applicants. Extron will collect and store CVs, references and interview feedback from prospective employees.

Extron is receiving personal information from employment applicants directly when they are applying for one of our job openings and sometimes through a third party, for example through an employment agency. This privacy statement is applicable as well for personal information that was received through another party.

Data storage

Your personal data will be stored at a server in our Headquarters in the US. To guarantee your privacy we have an internal privacy policy in place. Please contact our security employees in case you wish to look into this policy by sending an email to eur-gdpr@extron.com.

We understand our legal duty to retain accurate data and only retain personal data for as long as we need it for our legitimate business interests and that you are in agreement for us to do so. Accordingly, we have a data retention notice based on legal grounds and run data routines to remove data that we no longer have a legitimate business interest in maintaining.

We also collect certain anonymous information that cannot be associated with you personally, such as the domains from which you visit us, the number of visitors to our website, browsing patterns, and areas of interest. We analyze this data to assess trends, statistics, and customers' needs, and to help us improve our website, products, and services to our customers. See Cookies.

Opting In, Opting Out

You may opt in or out of receiving information at any time or for any other purpose of processing for which you gave your consent. When you register with Extron, you have the option of selecting or deselecting the information you wish to receive (or not receive) from us. You may also change your mind and subscribe or unsubscribe at any time. For example, e-mail messages will contain instructions on how to unsubscribe so that you will not receive the e-mail in question in the future.

If you have a dealer login, you can go to Preferences to change your subscriptions and/or preferences.

Cookies are small text files that websites place on your computer's hard drive. If your browser is set to accept cookies, then your browser adds the text in a small file. We do not use cookies to read any other information on your computer's hard drive. We use cookie technology to authenticate your access to various areas of our website, tailor its content to your dealer authorization, and help us analyze web traffic in general. Cookies may be used when you request something from Extron such as literature, technical support, etc. Most browsers are initially set to accept cookies. You can set yours to refuse cookies or to warn you before a cookie is placed. If you choose not to accept cookies, you may have to manually input user IDs and passwords to receive certain data.

Accuracy and Rights

You can send us a request by email to eur-gdpr@extron.com to send you an overview of the records we keep from you. At all times you can request us to adjust, restrict or delete your data, or to receive the data you provided to Extron, in a structured, commonly used and machine-readable format.

We want your personal information to remain accurate. If you are registered with Extron, you may contact your Extron Customer Service Representative by Contact Us or the security team at eur-gdpr@extron.com and ask them to adjust or remove your data at all times. You will receive a confirmation from the adjustment accordingly.

Safeguarding Your Personal Information

We protect the personal identification information you share with us. Extron uses a variety of commercially available security technologies to protect your personal identification information, including secure servers and firewalls.

Any questions, concerns or complaints with regards to Extron Europe’s privacy policy should be directed to the security team at eur-gdpr@extron.com.

If you are unable to resolve a complaint after having contacted our security team, you may contact the Dutch authorities for privacy protection (Authoriteit Persoonsgegevens) at https://autoriteitpersoonsgegevens.nl.

Disclosure to Third Parties

Extron will not disclose or use Personal Information for any other purposes than for which it was collected without the express consent of the individual unless otherwise required by law. For the execution of some activities we use external services in various countries and the personal data provided to them is managed with agreements that ensure your data is only used for the specific purpose and will be deleted afterwards.

Your personal information will be used by Extron personnel only. In case of using a third-party service provider only required personal data will be used to provide the bespoke service.

If you do not wish your records to be shared for service purposes like mentioned earlier in this statement, please send us an email with instructions to eur-gdpr@extron.com.

By registering at the Extron website or sending us your resume, we will use your personal information for the in this statement mentioned purposes.

The Extron website is available for use by anyone, regardless of their willingness to disclose personal identification information.
